Proposal Letter Final Draft
To Marketing Board of Men’s Health Magazine,We are writing on behalf of the board of trustees for the National Coalition for Men. The NCFM is the nation’s largest non-profit organization for men, which was founded over 40 years ago to create a unified voice in addressing issues that face men today. For the last six years we have sponsored three expos in our largest city chapters: San Diego, Dallas, and Little Rock. Each year the expos have exponentially grown, but we have reached a point where we cannot sustain more growth without the support of an organization like Men’s Health Magazine. We would like to propose that Men’s Health Magazine co-sponsor the three expos for 2012 and contribute $700 thousand towards the three events. Over 3 million will see advertising and 10 thousand attendees are expected at each location. These expos, like Men’s Health Magazine, are dedicated to celebrating manhood. We couldn’t think of a better co-sponsor to help bring these expos into fruition. In considering whom we wanted as our co-sponsor we looked at a lot of different options. Even though other organization had a lot of what we were looking for, we felt Men’s Health Magazine complimented the theme of the expo best.
Men’s Health Magazine has 26 million subscribers. Of those 26 million the primary audience is single males between the ages of 18-27 years old.(menshealthmagazine.com) They use your magazine as a tool to improve diet, workout, sex life etc... In men’s magazines sometimes the message sent and how it is received can be two different messages. For example, you post a story “how to be more fit.” The reader takes the article and feels he will never become that “type” of guy. He refuses to read anymore articles because of the shame he feels when looking at the pictures and reading the articles. Little does he know that Men’s Health Magazine offers an on-line forum where men can discuss the life of a dad, diabetes, or even recipes. NCFM and these expos will put people in front of you who currently don’t subscribe to Men’s Health Magazine. You will have the opportunity to share your story and show how your organization can be part of any man’s life. Men come to these expos to build relationships. We want you to be part of these relationships. Attendees will see some of the enabling qualities emphasized by our organizations and we hope to broaden their horizons with the products and materials provided. Likewise, we know that NCFM followers will have an excellent opportunity to learn more about the features listed in the monthly magazine, many of which are encouraged on the NCFM website.
We will offer our primary sponsor two main incentives.
- We will split all profits made from the three conferences 50 percent.
Projected profits go as follows:
San Diego
- Floor Space allows for 250 booths.
- We will sell each booth space for $2,500 for three days. $2,500 x 250 = $625,00
- Entrance fee $5 x 10,000 = $50 thousand
Dallas
- Floor space allows for 175 booths.
- Each booth space will be sold for $2,000 for three days. $2,000 x 175 = $350,000
- Entrance fee $5 x 10,000 = $50 thousand
Little Rock
- Floor Space allows for 210 booths.
- We will sell each booth space for $1,500 for three days. $1,500 x 210= $315,000
- Entrance fee $5 x 10,000 = $50 thousand
(Our rough projection shows our gross earnings to be $1.44 million. The sponsor will be paid on gross not net earnings.)
- The conference will be named after the co-sponsor. Over 3 million people will see advertisements with your branded name. (Advertising will be done through TV, radio, local newspaper, billboards, marquis, Facebook, Twitter, and our web page.)
The expo will be named “ The Men’s Health Magazine Man Expo.” Along with all advertising perks and name exclusivity, at each expo Men’s Health Magazine will be given two hours of stage time a day to have speakers, giveaways, and anything else you prefer. Along with that, all swag bags will have website and subscription details on the outside a long with the latest issue of Men’s Health Magazine.
Having a co-sponsor is very important to the success of this conference. With the name recognition of Men’s Health Magazine a long with our large network of supporters we will see a higher, more diverse crowd at all three locations. We will have the freedom to hire social networking and advertising professionals along with marketing agents to book booth space at each expo. Also, in years past we have used local recreation centers and high school gyms rather than convention centers. The convention centers allow more space for larger venues and for the first time we will have concessions.
Leading up to the conference our major expenses go as follows:
- Convention Centers
- Social networking and advertising professionals
- Advertising space
- Marketing agencies to book floor space
- Permits for parking
- Staff/security
- Swag bags
- Giveaways
The conferences will be:
June 7-9, 2012 in San Diego.
July 5-7, 2012 in Dallas
August 2-4, 2012 in Little Rock
We will begin advertising in each location three months before the event. All three convention centers require non-refundable deposits 30 days in advance. We have broken down payments as follows: - payment 1- $300,000 Febuarary 1, 2012
- payment 2- $300,000 March 1, 2012
- payment 3- $100,000 April 1, 2012.
We will pay you on gross profits earned no later than September 1, 2012.
More or less we look at this as a two fold benefit for Men’s Health Magazine. First, you will see a full return on your investment after booth and entrance fees. Plus, your name will be branded out to thousands currently not subscribing. We see this being worth many times more than your contribution. Second, you will build a relationship with the largest non-profit organization for men. We are certain these expos will be such a success, that we will be making plans this same time next year for 2013.
